Essential duties and responsibilities, shown below, will vary accordingly based on assignment.
Vending cars to body shops and dealers, including Zipcar vehicles; follow up as needed. Maintain a daily phone log with vendor name, contact person, and telephone number, invoice number (s), purchase order numbers, estimate id numbers and MVA numbers. Body Shop Statement reconciliation.
Billing and Invoicing: glass invoices, PDA and trucking bills.
Tracing cars to determine which location to charge for damages: check for accident reports, prepare prep sheets for each salvage, shipping and pick up of salvage vehicles.
Assisting with vehicle movement from and to dealers, the airport, body shops, and auction.
Pulling internal reports (e.g. Idle report, Overdue report, Monthly Condition report/MET Items Reporting). MVAC Inventories and Reporting. Unallocated Reporting.
Processing Plate Returns and Out Of State Registration Orders.
Scheduling Supply Chain Tows and Trucks. Coordinating Shuttlers.
Handling key requests. Key filing.
Smart Auction pick up handling.
Claim Watch monitoring.
Turnback title handling (KIA).
Handling of fuel orders, fuel Inventories and reconciliation.
Answering phones/E-mail inquiries. Ordering Supply Chain Office and building supply orders.
Coordinating other duties as assigned by Manager.
High School Diploma or GED
Minimum of six months of customer service experience and excellent customer service skills
Prior office experience a plus
Required Knowledge, Skills and Abilities
Valid drivers license along with a clean driving record
Professional phone manner/techniques is a must
Strong Computer skills is required with Data Entry accuracy
Effective communication skills, including verbal, written and listening skills. Ability to interact with both internal and external customers at all levels
Strong organization skills are required
Strong time-management and multi-tasking skills and capable of determining priorities in a fast paced work environment
Knowledge of ADP electronic parts system (or similar) preferred
Familiarity with Microsoft Word, Excel
