This clerical position provides general clerical assistance to the truck fleet distribution department and provides service to both internal and external customers. Will also track and run reports on availability issues and gather business reports. Coordinate, maintain and dispatch the activities of shuttling over a designated geographic area. Track 'out of service' trucks, update M&D Dept and fax/send accident reports/rental agreements to Administration center. Reports directly to the Agency Manager, or any other Manager/Lead as Assigned.

KEY WORKING RELATIONSHIPS

This position has internal contact primarily with staff in immediate work group as well as with staff in the service department and Agencies. Interacts with staff at other rental locations, and other areas to gather or relay information regarding vehicles being repaired and moved.

DUTIES AND RESPONSIBILITIES

  • Coordinate, maintain and dispatch the activities of shuttling over a designated geographic area.

  • Coordinate with maintenance shop and Inventory Manager to efficiently move units. Use wizard system to help determine best options for truck movement.

  • Track and ensure prompt movement of fleet in the area.

  • Responsible for identifying and tracking movement of trucks between agencies and gathers consolidate and verify information for report running.

  • Answer telephone inquiries from internal or external customers utilizing established telephone techniques.

  • Complete and submit required paperwork, including pick-up/delivery schedule, run reports etc.

  • Maintain a neat and clean work area. Maintain a professional appearance, adhering to company guidelines regarding dress code.

  • Perform other duties and projects as assigned.

  • Assists with general office duties (such as but not limited to computer processing, typing, filing, etc) to aid in the administration of the location.

  • Assists all external and internal customers with inquiries and concerns in a professional and friendly manner.

  • Assumes responsibility for accurately completing paperwork and processing and communicating reports to directed individuals as assigned by Management.

  • Responsible for notifying Management of any business, equipment, employee, safety or customer concerns.

  • Follows and maintains Quality Assurance Standards as issued by the company.

Qualifications/Minimum Requirements:

  • Minimum of 1 year previous customer service experience

  • Knowledge of Truck maintenance is a plus

  • Professional phone manner/techniques is a must

  • Strong Computer skills is required with Data Entry accuracy

  • Effective communication skills, including verbal, written and listening skills. Ability to interact with both internal and external customers at all levels

  • Strong time-management and multi-tasking skills and capable of determining priorities in a fast paced work environment

  • Working knowledge of ABG Wizard System

  • Excellent Communication Skills

  • Ability to Work Flexible Schedule including weekends, evenings, and holidays

  • Ability to Maintain and Project Professional Behaviors.

  • Valid Driver License required

  • High School diploma or equivalent
